As Facilities Administrator you will be part of a friendly and supportive team that has a culture of innovation, excellent customer service and employee engagement. The business based in Saffron Walden, Essex.

About the role of Facilities Administrator;

Reporting to the Finance Manager

Providing support for Facilities activities, including:

  • All issues related to facilities and premises, including canteen supplies, management and organisation of cleaning & refuse services, building maintenance and equipment inspections
  • Dealing with insurance claims and assisting with annual renewal.
  • Utilities management, land line and mobile telephones, computer & printer hardware
  • Supporting the Director of Operations with IT issues and software upgrades
  • Administration of company car fleet and assisting with car renewals.

Providing support for Health & Safety activities, including:

  • Completion and documentation of 3rd party checks and inspections
  • Administration related to company car drivers
  • Completion and review of internal documents including Risk Assessments, Policy, Checklists, Method Statements, Training Records etc.
  • Working with H&S consultants to ensure H&S legislation is complied with
  • Completing fire drills and fire alarm tests
  • COSHH Risk Assessments and Management
  • Employee DSE questionnaires

Providing support for Human Resources activities, including:

  • Management of the absence management system, staff working hours and clocking in system, overtime hours worked, staff induction and system set up
  • Administration of staff benefits including pensions, childcare vouchers & healthcare
  • Assisting with the organisation of staff and third-party events

About the Facilities Administrator as a person;

Skills and experience:

  • Good standard of education, numeracy & literacy, ideally educated to degree level
  • Excellent levels of experience using standard Microsoft Office applications – Word, Excel, Outlook
  • Experience in dealing with suppliers in issue resolution, contract discussions and negotiation
  • Ideally Human Resources, Health & Safety and / or Facilities administration experience
  • Minimum of 5 years work experience in a similar role

  • Excellent communication skills, able to interact with colleagues and partners at all levels.
  • Enthusiasm and perseverance with a positive ‘can do’ attitude

  • Capable of working as part of a team and able to use own initiative when working independently.
  • Aptitude to meet challenges that may arise
