Headteachers PA Hertfordshire

Headteachers PA Hertfordshire. Our prestigious clients seek a quality person to act as PA to the Headteacher. Based in Hertfordshire this school is amongst the top secondary schools nationally. They seek someone who can work with the Headteacher in a fast-paced environment, and who can multi task effortlessly and completely support the Headteacher.

Main Areas of Responsibility for the Headteacher PA:

  • to provide a confidential and personal secretarial service to the Headteacher
  • to manage the Headteacher diary pro-actively
  • to screen all telephone enquiries on behalf of the Headteacher
  • to manage the Headteacher school email account
  • to carry out all typing requests of the Headteacher
  • to compose letters/deal with all correspondence on behalf of the Headteacher
  • to service and co-ordinate meetings at the Headteacher’s request: production of agendas/preparation of papers/distribution/minuting and travel arrangements
  • to liaise with students, staff, parents and other stakeholders on behalf of the Headteacher
  • to greet and provide for the Headteacher’s visitors
  • to organise non-student school events eg retirement parties
  • to produce the Weekly Bulletin for staff in liaison with the Cover Administrator
  • to produce the Weekly Update for parents/carers in liaison with the Communications Officer
  • to carry out the performance management of other staff as required by the Headteacher
  • to carry out the Headteacher’s filing
  • to provide cover on Reception at lunchtime on a rota basis
  • to carry out other, various secretarial and clerical duties at the request of the
    Headteacher

Person Specification including Knowledge, Experience and Training of Headteacher PA:

  • secretarial training
  • a high level of spoken and written English
  • excellent administration and organisational skills including diary management
  • a high degree of computer literacy
  • the ability to produce excellent typed copy (at least 60 wpm typing speed)
  • excellent proof-reading skills
  • the ability to communicate at all levels, in a professional manner, over the telephone and face to face
  • the ability to work unsupervised, using initiative, to prioritise, multi-task and be flexible
  • the ability to work calmly under pressure, and with a ‘can-do’ approach
  • a strong attention to detail
  • a smart, professional appearance
  • discretion, tact, sensitivity and diplomacy
  • the ability to use all software (eg Microsoft Office suite/SIMS database) and all machinery used in a school office (eg switchboard, fax, photocopier, scanner)

Safeguarding Children – The school is committed to the safeguarding of the children in its care. To this end all employees will need to undergo pre-employment checks including references, a check of any relevant qualifications, photo and address identification.

Contracted Hours:

37 hours per week, term-time only + 1 week (45.6 paid weeks) The working weeks during the year would be 39 weeks (which includes the 5 CPD days), plus working 5 days during the holidays (these are usually in the last week of the summer break but are negotiated in advance). 37 weekly hours but working on a Tuesday until 6.00 pm, and therefore there will either be a couple of days with a later start, or with an earlier finish – to be agreed.
